You must be at least 18 years old to use AICollabX. Our Service is designed for business and professional use.

3.2. Account Registration

• You are responsible for maintaining the security of your account credentials
• You must promptly notify us of any unauthorized use of your account
• One person or entity per account – sharing accounts is prohibited

3.3. Business Use

AICollabX is intended for business, professional, and organizational use. You represent that you have the authority to bind your organization to these Terms if using the Service on behalf of an entity.

4.1. Our Service

We provide a meeting intelligence platform that includes:

• Real-time AI assistance during meetings with live explanations and support
• Automated transcription and content analysis of meeting discussions
• Visualization tools for creating diagrams, flowcharts, and visual representations
• Action generation including automated emails, tasks, calendar events, and tickets
• Integration capabilities with your existing productivity and business tools
• Content organization and searchable meeting archives

4.2. Service Development

We continuously improve our Service by:

• Adding new features and AI capabilities
• Enhancing transcription accuracy and real-time assistance
• Expanding integration options with third-party tools
• Updating our AI models for better performance
• Implementing security and reliability improvements

4.3. Service Availability

While we strive for high availability, we cannot guarantee uninterrupted service. We may temporarily suspend the Service for maintenance, updates, or to address technical issues.

5.2. Acceptable Use

• Maintain security: Keep your account secure and report security issues promptly
• Use business judgment: Ensure your meeting content is appropriate for AI processing

5.3. Prohibited Activities

You may not:

• Violate privacy laws or record meetings without required consent
• Share unauthorized content including confidential, proprietary, or illegal material
• Attempt to harm our Service through hacking, malware, or system abuse
• Reverse engineer or attempt to extract our AI models or algorithms
• Create fake accounts or misrepresent your identity or authority
• Spam or abuse our systems, other users, or integrated services
• Violate intellectual property rights of others through uploaded content
• Use automated tools to scrape data or overwhelm our systems

6.1. Your Meeting Content

• You retain ownership of all content you upload, including meeting recordings and materials
• You grant us a license to process your content solely for providing our Service
• You must have rights to all content you upload and process through our Service
• You're responsible for ensuring proper consent for meeting recordings

6.2. Our License to Your Content

When you provide content to AICollabX, you grant us a limited, non-exclusive, worldwide license to:

• Process and analyze your content to provide transcription and AI assistance
• Store and organize your content for retrieval and analysis
• Generate derivatives like summaries, action items, and visualizations
• Integrate your content with third-party services you've authorized

This license:

• Lasts only while you use our Service and briefly thereafter for operational purposes
• Ends when you delete content or close your account (subject to legal retention requirements)
• Is limited to providing and improving our Service to you

6.3. AI-Generated Content

• Ownership: You own AI-generated content created from your meetings (summaries, action items, etc.)
• Accuracy: AI-generated content is provided "as-is" and may require your review and editing
• Usage: You may use, edit, and distribute AI-generated content as you see fit
• Responsibility: You're responsible for reviewing AI-generated content before taking action

6.4. Our Intellectual Property

AICollabX retains all rights to:

• Our platform, software, and AI models
• Our branding, trademarks, and service marks
• Our proprietary algorithms and technologies
• Documentation and user interfaces

8.1. Connected Services

Our Service integrates with third-party platforms (calendars, email, task management tools). When you connect these services:

• You authorize data sharing between AICollabX and the connected service
• Their terms apply – you're also bound by the third-party's terms of service
• You can disconnect any integration at any time through your account settings
• We're not responsible for third-party service availability or functionality

8.2. Third-Party Content

You may encounter content from external sources through our integrations. We don't endorse or take responsibility for third-party content.

10.1. Billing

• Subscription fees are billed in advance according to your chosen plan
• Payment methods must be current and valid
• Auto-renewal applies unless you cancel before the renewal date
• Price changes will be communicated with at least 30 days notice

10.2. Cancellation and Refunds

• You may cancel your subscription at any time
• Cancellation takes effect at the end of your current billing period
• Refunds are generally not provided for partial periods
• Free trial periods may be offered at our discretion

11.1. Changes to Service

We may modify or discontinue features of our Service:

• With advance notice when reasonably possible
• Immediately for security, legal, or operational reasons
• With data export opportunity if we discontinue the Service entirely

11.2. Account Termination

We may suspend or terminate your account if:

• You violate these Terms or our policies
• Your account is inactive for an extended period
• We're required to do so by law
• Your conduct harms other users or our Service

11.3. Your Right to Terminate

You may terminate your account at any time by:

• Canceling your subscription through account settings
• Contacting our support team
• Following account deletion procedures

Upon termination, we'll delete your data according to our Privacy Policy, except where retention is required by law.

12.1. Service Disclaimers

Key limitations:

• AI accuracy: Our AI features may not be 100% accurate and should be reviewed
• Meeting content: We cannot guarantee the quality or completeness of transcriptions
• Third-party services: We're not responsible for integrated service functionality
• Availability: Service uptime is not guaranteed
• Professional advice: Our Service is not a substitute for professional advice

12.2. Limitation of Liability

We are not liable for:

• Indirect damages including lost profits, data, or business opportunities
• Consequential damages from Service use or unavailability
• Third-party actions including data breaches at integrated services
• Content accuracy including AI-generated summaries or transcriptions

12.3. Your Responsibilities

You agree to indemnify AICollabX against claims arising from:

• Your violation of these Terms
• Your use of the Service in violation of applicable laws
• Content you upload or process through our Service
• Your failure to obtain proper consent for meeting recordings

13.1. Governing Law

These Terms are governed by the laws of Australia, without regard to conflict of law principles.

13.2. Dispute Resolution Process

Before pursuing legal action:

• Contact us directly at support@aicollabx.com to discuss the issue
• Allow 30 days for us to work together on a resolution
• Consider mediation for complex disputes

13.3. Jurisdiction

Any legal proceedings will be conducted in the courts of Australia, and you consent to their jurisdiction.

14.1. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and AICollabX.

14.2. Severability

If any provision of these Terms is found invalid, the remaining provisions will continue in effect.

14.3. No Waiver

Our failure to enforce any provision doesn't waive our right to enforce it later.

14.4. Assignment

You may not transfer your account or these Terms without our consent. We may transfer our rights and obligations with notice to you.

14.5. Updates to Terms

We may update these Terms to:

• Reflect changes in our Service or business practices
• Address legal or regulatory requirements
• Improve clarity or address user feedback

Material changes will be communicated at least 30 days in advance via email or through our Service. Continued use after changes take effect constitutes acceptance.
